Prevent Deletion of Google Shared Content Owned by Alumni and Former Employees

  If you are having trouble reading this email, you may view the online version. NC State University On Monday, September 2, the Google Service Team will delete all labeled files and folders owned by alumni, former students and former employee accounts that have been suspended for two or more years (prior to May 2022). This action will help NC State meet its Google Workspace storage quota. To learn more about this project, see the initial initial campus notification.
What You Can Do Now
1. Use Drive Labels to identify files shared with you but still owned by suspended alumni and former employee accounts.
Carefully review any Google Shared Folders that former users might own. These folders and their contents are slated for deletion unless action is taken.
Google Shared Drives will not be impacted.

2. View any impacted Google Drive files visible to you by:
Clicking the following links in each category.
PENDING DELETION – Alumni – Phase 2 (including Undergraduate, Graduate, PhD, etc.) Any file shared with you by a user classified as a graduated student before May 2022 will appear in the list and is scheduled to be deleted.
Use this label if you have collaborated with students who graduated before May 2022. PENDING DELETION – Former Employee – Phase 2
Any file shared with you by a user classified as a former employee before May 2022 will appear in the list and is scheduled to be deleted.
Use this label if you have collaborated with former employees whose accounts have been inactive for two or more years.  
Creating your own search.
Log in to drive.google.com with your Unity ID and password.
From the Search field at the top of the page, click the Advanced Search icon.
Click in the Labels search field.
From the drop-down list, choose the label PENDING DELETION – Alumni – Phase 2 or PENDING DELETION – Former Employee – Phase 2 (Only select one label to search at a time,).
Click Search.
To filter further, click the Location search chip and select Shared with Me.

3. Retain any needed files by:
Migrating them to a Shared Drive. (Best Practice)
Making a copy (if Shared Drives aren’t an option) and then moving the copy into a Shared Drive.
